Overview

When a customer fills out an inquiry form on one of your "Contact for Info" products, Batch52 sends two emails automatically: a confirmation to the customer with their inquiry details, and a notification to you with everything they submitted. Both emails go out the instant the customer taps Submit Inquiry — you don't need to be online or do anything.

What the Customer Receives

The customer gets an email from your business name (for example, "Good Docs Bakery") with the subject line "Product Inquiry Confirmation - [inquiry number]" (e.g., "Product Inquiry Confirmation - I-260215-001").

The email includes:

  • A heading: "Product Inquiry Confirmation"
  • The inquiry number
  • A personal greeting using the customer's name
  • The product they inquired about (name and image)
  • Their answers to any inquiry template questions (like "What are you looking for?", "Quantity", and "Allergies or dietary restrictions")
  • Your auto-reply message and business name sign-off

The email is sent from gooddocs-bakery@notify.batch52.com (with your site name), but the display name shows your business name — so the customer sees "Good Docs Bakery" in their inbox.

What You Receive

At the same time, you get a "New Product Inquiry [inquiry number] from [Customer Name]" notification at your business email address. This email includes:

  • A heading: "New Product Inquiry Received"
  • The inquiry number and date
  • Customer Information — their name, email (as a clickable link), and phone number
  • Product Interest — the product they're asking about
  • Their answers to your inquiry template questions
  • A note that you can reply directly to this email to contact the customer
  • A link to view and manage the inquiry in your admin panel

You can reply directly to this email to respond to the customer, or click the admin panel link to open the inquiry in your orders list where you can build a quote.

Customizing the Auto-Reply

The customer's confirmation email uses your Product Inquiry auto-reply template. You can customize the wording from Website Settings > Auto-Reply Templates.

The template supports these variables that get replaced with real data when the email is sent:

To edit the template:

  1. Go to Website in the sidebar
  2. Expand Website Settings and click Auto-Reply Templates
  3. Click the Product Inquiry tab
  4. Edit the text to your liking
  5. Click Save Changes

If you ever want to go back to the original wording, click Reset to Default and then Save Changes.

Tips

  • Both emails send instantly — the customer gets their confirmation right away, and you get the notification at the same time.
  • The baker notification includes the customer's email as a clickable link and their phone number, so you can reach out however you prefer.
  • The inquiry also appears in your Orders list in the admin panel with a Build Quote button, so you can put together custom pricing right from there.
  • Keep your auto-reply warm and helpful. Something like "Thanks for reaching out about this product! We'll get back to you with details" works great.
  • Product inquiry notifications go to whatever email you've set as your Contact Email in your business settings. You can change this under Settings > Business Info.
  • If you've set up an inquiry template for the product (like "Simple Custom Order" or "Custom Cake"), the customer's answers to those template questions will appear in both the customer confirmation and your notification email.
